Support
Medicus is a private practice app for clinicians who see patients on their own, such as psychologists, therapists and counselors. Your patients, session notes, schedule and payments are in one place, on your iPhone, iPad and Mac.
Contact
Questions, bugs or ideas? Email colgat3666@proton.me. Please mention your device and its iOS, iPadOS or macOS version.
Please don’t include patient names, notes or any other patient details in your email. To describe a problem, use the sample practice or made-up names.
What Medicus is, and what it isn’t
Medicus keeps the records of your own practice: your patients and their details, session notes (free text or SOAP, DAP and BIRP templates), your schedule and sessions, payments, packages and prepaid sessions, and statements you can show a patient.
Medicus is a tool for practitioners. It isn’t a healthcare service, and patients don’t use it. It doesn’t diagnose, give medical advice or suggest treatment, it doesn’t replace your professional judgment, and it isn’t a medical device.
There’s no account and no server. Your records stay on your devices and, if you turn on iCloud sync, in your own iCloud account. The developer can’t see them. See the Privacy Policy for the details.
Requirements
- iPhone with iOS 27 or later, iPad with iPadOS 27 or later, or a Mac with macOS 27 or later.
- English or Spanish.
- For iCloud sync: each device signed in to iCloud with the same Apple Account.
Free trial and purchase
How does the free trial work?
Medicus is free to download. Start Free Trial gives you every feature for 30 days. The trial is a free in-app purchase on your Apple Account: nothing is charged, and it doesn’t renew. Each Apple Account gets one trial, so reinstalling Medicus or adding a device doesn’t start a new one.
Want to look around first? Choose Explore a Sample Practice: a made-up practice with patients, sessions and payments. It needs no purchase, and nothing from it is saved to your practice.
How do I buy Medicus?
One payment, called Medicus Unlock, unlocks Medicus for good. There’s no subscription. You can buy it on the screen that offers the trial, from the bar that appears in the trial’s last days and after it ends, or in Settings › Medicus Unlock on iPhone and iPad. On the Mac, choose Medicus › Buy Medicus…, or open Settings › About. The app shows the price in your currency before you buy.
On iPhone and iPad, Settings opens from the gear button on Today. On the Mac, choose Medicus › Settings….
Does one purchase cover my iPhone, iPad and Mac?
Yes. Medicus is one app on the App Store for all three, so the purchase (and the trial) belongs to your Apple Account and works on every iPhone, iPad and Mac signed in with it. Family Sharing isn’t available for Medicus purchases.
How do I restore my purchase?
Medicus usually finds your purchase by itself. If it doesn’t, sign in with the same Apple Account and tap Restore Purchases in Settings › Medicus Unlock on iPhone or iPad. On the Mac, choose Medicus › Restore Purchases…, or use Settings › About.
What happens if the trial ends and I don’t buy?
Your records are never locked away. Medicus becomes read-only:
- Keeps working: opening and reading every record, search, statements, Export and iCloud sync. You can still delete a patient, move a note to the Trash while it’s still editable, delete notes from the Trash, and erase Medicus’s data on a device.
- Stops: adding and changing (no new patients, notes, appointments or payments, and no edits), archiving, restoring from the Trash, notifications and sending reminders.
Buy Medicus at any time to pick up where you left off.
How do I get a refund?
Apple handles all App Store payments and refunds. Request a refund at reportaproblem.apple.com. The developer never sees your payment details and can’t issue refunds.
iCloud sync
How does iCloud sync work?
Sync is off until you turn it on, on each device: Settings › iCloud & Data › iCloud Sync. Medicus then keeps a copy of your practice in your own iCloud account, in its private database, and your devices signed in to the same Apple Account stay in step. There’s no Medicus server.
Before you turn it on, Medicus asks for a recent export from that device (less than a month old), unless the practice has no patients yet. Sync starts the next time you open Medicus.
Names, photos, contact details, birth dates, ID numbers, notes, memos, reasons, appointment places and video links, and payment references are encrypted with keys in your iCloud Keychain. Other details don’t have that encryption, such as amounts and prices, appointment dates and times, payment dates and methods, statuses and flags (for example, that a note is confidential), your professional title, your practice’s settings and the links between records: Apple protects them as it protects the rest of your iCloud data. The developer has no access to any of it. If you lose access to your iCloud Keychain, the encrypted parts can’t be recovered from iCloud. That’s why Medicus asks for an export first.
What happens if I turn sync off?
The device keeps all its data. From the next time you open Medicus, changes made there stop reaching your other devices, and theirs stop reaching it. The copy already in iCloud stays in your iCloud account until you delete it in your Apple Account’s iCloud storage settings.
Export and backups
How do I export my data?
Go to Settings › iCloud & Data › Export Data… (Export… on the Mac). Medicus asks you to confirm it’s you, then lists what the file will hold.
- JSON is a complete copy that Medicus can restore into an empty practice, on the same device or another one.
- CSV gives you tables for spreadsheets in a .zip file. It has no photos, and Medicus can’t restore from it.
To export one patient, open their record and choose More (…) › Export Patient….
Export files aren’t encrypted. Anyone who opens one can read everything in it, notes included. Save it somewhere only you can reach, and delete copies you no longer need.
If Medicus ever can’t open its data, its recovery screen offers Export Database Files. That file holds every record, confidential notes included, and isn’t encrypted either. Keep it safe and don’t send it to anyone: to report a problem, write to support and describe what happened instead.
Is Medicus in my device backups?
Yes, by default: iCloud Backup and backups to a computer on iPhone and iPad, and backups such as Time Machine on the Mac. iCloud Backup is end-to-end encrypted only when Advanced Data Protection is on.
To leave Medicus out, turn on Exclude from Device Backups in Settings › Privacy & Security, on each device. Then, if that device is lost or replaced, only your exports (and iCloud sync, if it’s on) can bring your data back. Export regularly to storage you control; Settings reminds you when your last export is more than a month old.
Privacy features
- App Lock asks for Face ID, Touch ID or your device passcode (on a Mac, Touch ID or your login password) when Medicus opens and after the auto-lock time. Lock Now locks it at once. It’s in Settings › Privacy & Security.
- Privacy Mode hides amounts, full names, photos and note previews, for when you share your screen or turn your device toward a patient. On iPhone and iPad it turns on by itself while the screen is shared or recorded. On the Mac, press ⇧⌘H. You can also turn on Hide Windows from Screen Sharing there, but some apps may still capture the windows, so use Privacy Mode too.
- Confidential notes are never previewed and open only after you confirm it’s you.
- Show Statement shows a patient their account with no clinical text. Closing it asks you to confirm it’s you.
- A device passcode is needed for App Lock and for every step where Medicus confirms it’s you. Without one, Medicus can’t ask who you are, so those steps go ahead without a check, and Medicus shows a reminder to set a passcode.
- Notifications are off until you turn them on in Settings › Notifications, on each device. They never show patient names, note text, services or amounts. You can choose to add initials.
- Keyboards: on iPhone and iPad, Medicus allows only Apple’s keyboards, so third-party keyboards never see what you type.
- Your records stay put: nothing clinical is deleted automatically. Notes lock after the editing window you choose, and later corrections are added as addenda.
Frequently asked questions
I lost my device. What can I do?
Your records are protected by your device’s passcode and by Medicus’s App Lock, if it’s on. Use Find My to lock or erase the device.
The developer has no copy of your data and can’t recover it. You can get your practice back from:
- iCloud sync, if it was on: on another device, choose I Already Use Medicus on Another Device on Medicus’s welcome screen. Names, notes and the other encrypted parts come back only with access to your iCloud Keychain.
- A device backup that includes Medicus, restored to a new device.
- A JSON export: choose Restore from an Export on Medicus’s welcome screen.
How do I move to a new device?
Install Medicus and sign in with the same Apple Account. Your trial or purchase comes with it. Then bring your practice over:
- With iCloud sync: choose I Already Use Medicus on Another Device, turn on iCloud Sync and reopen Medicus when it asks.
- Without sync: on the old device, export a JSON file (Settings › iCloud & Data › Export Data…), move the file to the new device, and choose Restore from an Export. A restore fills an empty practice; it never merges two.
- From a backup: restore a device backup that includes Medicus.
How do I delete data?
- A patient: open their record and choose More (…) › Delete Permanently…. Type their full name and confirm it’s you. Everything about the patient is removed from the device. Archive is the gentler option: it keeps the record and hides it from your list.
- A note: while it’s still editable, choose Move to Trash, then delete it in Settings › iCloud & Data › Trash. Nothing in the Trash is deleted automatically. A locked note can’t be deleted on its own. You can mark it as Entered in Error, which keeps it with that mark, or delete the patient with all their records.
- Everything on a device: in Settings › Privacy & Security, choose Erase Medicus Data on This Device…. Medicus offers an export first, asks you to type ERASE and confirm it’s you, then removes your practice from that device and starts over. With iCloud sync on, it turns sync off on that device: the copy in iCloud and your other devices keep their data. On a Mac, erase before you delete the app, which may otherwise leave its data on the Mac. On iPhone and iPad, deleting the app also removes its data.
- Other copies: with iCloud sync on, deletions also reach your other devices and the copy in iCloud. Deleting the app or erasing a device doesn’t remove the copy in iCloud: delete it in your Apple Account’s iCloud storage settings. Device backups and export files keep their own copies until you delete them.
Before you delete clinical records, check how long you must keep them. For example, at least 5 years in Mexico (NOM-004-SSA3-2012) and in Spain (Ley 41/2002), and APA guidance suggests 7 years or more.
Can I use Medicus under HIPAA or the GDPR?
Medicus has no server, and the app never sends your patients’ data to the developer. You stay responsible for the records you keep. Apple doesn’t sign business associate agreements (BAAs) for iCloud, so if HIPAA applies to you, the cautious setup is Medicus without iCloud sync, excluded from device backups, with regular exports to storage you control. See Your responsibilities in the Privacy Policy.
I’m a patient. How do I see or delete my records?
Ask your practitioner. Your records are on their devices and, if they use iCloud sync, in their iCloud account. The developer has no access to them and can’t see, change or delete them.
How do I contact you?
Email colgat3666@proton.me. Please don’t include patient details.
